About the Role

The Executive Assistant shall assist in the day-to-day office operation of the Ready4Life Community Violence Intervention and Prevention Project. You will coordinate and schedule all instructional and training events and meetings at the principal RRM operational site, arrange and coordinate meetings with community leaders and government officials, and assist the Project Director during specified local, state, or national meetings, forums, conferences, or workshops.

Responsibilities

  • Coordinate and schedule all instructional and training events and meetings.
  • Operate all office equipment and personal computers.
  • Prepare documents and reports, and file/store them appropriately.
  • Greet clients and visitors at the front desk and direct them to appropriate staff.
  • Answer telephone calls, emails, and voicemails, and channel communications to appropriate staff.
  • Exercise tact and judgment in working with youth and resolving complex personnel and family problems, potentially involving law enforcement officials.
  • Work flexible hours, including weekends, holidays, day or night, and split shifts as required.
  • Listen empathetically to project participants to analyze needs and deliver or refer proper assistance.
  • Speak distinctly and express oneself with confidence, patience, and concern.
  • Work harmoniously with employees, public/private service agencies, and government/community groups.
  • Absorb and utilize new information and techniques.
  • Attend all staff meetings called by the Project Director, including weekly/monthly staff meetings, Group Mentoring Sessions, P.E.A.C.E meetings, and Community Violence Prevention Strategy Forums.
  • Assist in the preparation of staff monthly desk audits.
  • Prepare written monthly and quarterly reports of all work performed.
  • Operate company project management and operations software with ease and willingness to learn.
  • Coordinate and confirm travel arrangements for the Project Director.
  • Assist in the preparation of monthly, quarterly, and annual project reports and other correspondence.
  • Perform other duties as assigned by the Project Director.

Requirements

  • Possess filing skills, public relations skills, and interviewing techniques.
  • Know the functions and physical organization of city and parish departments and applicable community, state, and federal resource agencies.

Qualifications

Preferred: Bachelor's degree in Business Administration, Social Work, Accounting, Finance, or any related field. 3 to 5 years of work experience as an Administrative and/or Executive Assistant in a public/private agency, foundation, financial institution, non-profit organization, social services, or faith-based organization.

Minimum: Any equivalent combination of training and/or experience to meet the required knowledge, skills, and abilities.

Pay

$25 per hour / 20 hours per week
