Responsibilities
- Provides overall administration support to the VP, Revenue Management and Performance and additional Executives.
- Captures and coordinates meetings, travel arrangements, hotel accommodations and schedules, including maintaining calendars and tracking expenses.
- Creates written and oral correspondence with accuracy and attention to detail; relays or responds to messages promptly and professionally.
- Organizes and/or files, invoices, statements and other applicable paperwork according to department standards.
- Serve as a primary point of contact for technology-related matters, partnering with IT to troubleshoot issues, coordinate equipment requests, and ensure timely resolution of technical needs.
- Partner closely with fellow Executive Assistants to ensure alignment across leadership teams, share best practices, coordinate cross-functional activities, and provide seamless support for organizational priorities and executive initiatives.
- Event Coordination/Management: Coordinates travel, including calendaring and SSG (security) requirements. Provides event coordination - calendaring, timeline and oversight of event details, including presentations, refreshments, memorabilia etc. Point of contact for all visiting executives and visitors of each executive leader. Coordinate and manage quarterly Town Hall meetings for assigned leaders, including planning logistics, developing agendas, coordinating presenters, and ensuring seamless execution and follow-up communications.
- Support employee engagement and recognition efforts by coordinating team events, initiatives that foster a positive, connected, and high-performing workplace culture.
- Budget Tracking & Invoice Processing: Codes all department invoices and routes for appropriate approval. Tracks invoice payments and maintains budget spreadsheet for monthly forecast review with department management. Sets up all department vendors in vendor maintenance system, complying with multi-step process per company policy.
Requirements
- Scope: This role will typically be challenged with balancing competing priorities and communicating effectively with all levels of the organization.
- Experience with even coordination and project management is necessary.
- Problem solving: They will have problem solving skills, a strong sense of urgency, writing skills, and attention to detail.
- Impact: This incumbent will have demonstrated strong PowerPoint skills, and be able to use data, graphics and visuals to create original presentations of data, trends and conclusions from provided information.
- Knowledge: Understanding of workplace policies and procedures / Familiarity with team collaboration tools and techniques.
- Skills: Strong time management and organizational skills
- Abilities: Ability to maintain reliable and consistent attendance / Capacity to be punctual and meet deadlines / Ability to collaborate effectively with colleagues and work as part of a team / Demonstrated professionalism in all interactions and tasks.
Qualifications
- Ability to prioritize and manage multiple tasks simultaneously to meet deadlines.
- Ability to maintain high levels of confidentiality, accuracy and attention to detail.
- Strong written and verbal communication skills.
- Strong PowerPoint skills, including use of graphics and visual aids.
- Proficient in the use of MS Office 365 (Outlook, OneDrive, SharePoint Online, Word, Excel and PowerPoint).
- 5 – 7+ years of experience supporting senior level management.
- 2 – 4 years minimum helping coordinate events – tours, speaking engagements etc.
- 2 – 4 years project management experience, facilitating projects with multiple deadlines and contributors.
- Demonstrated experience creating executive and/or public presentations, preferably with PowerPoint, utilizing graphics and a strong visual aesthetic.
- Travel: Less than 25% with shipboard travel likely
- Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
- Physical Demands: Work beyond normal business hours or on weekends may be required occasionally to support business needs, projects, or operations.
- This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Princess location Monday through Thursday each week. Employees may work from their homes on Fridays.
