Job Overview
As an Executive Assistant at Plombon Insurance, you will play a pivotal role in supporting the executive team and ensuring the smooth and efficient operation of the company.
Executive Assistant – Key Responsibilities
- Calendar Management: Effectively manage the executive team’s calendars, schedule appointments, meetings, and conference calls, and proactively coordinate any changes or conflicts.
- Communication: Act as a primary point of contact for internal and external communication on behalf of the executives, including handling emails, phone calls, and inquiries.
- Meeting Coordination: Organize, plan, and coordinate meetings, including preparing agendas, distributing materials, and ensuring meeting rooms and technology are set up and functioning.
- Travel Arrangements: Make travel arrangements for the executive team, including booking flights, accommodations, and ground transportation, and preparing itineraries.
- Document Management: Maintain and organize important documents, reports, and files, ensuring they are readily accessible to the executive team.
- Administrative Support: Assist with various administrative tasks, including expense reports, document preparation, and data analysis as required.
- Project Assistance: Provide support for special projects and initiatives as directed by the executive team.
Qualifications
- Bachelor’s degree in Business Administration or a related field (preferred).
- Proven experience as an executive assistant or in a similar role.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Attention to detail and problem-solving abilities.
