About the Opportunity

Key Responsibilities
- Provide high-level administrative support to executive leadership, managing complex calendars, meetings, travel arrangements, and scheduling priorities.
- Cook up commercial property management activities, serving as the primary liaison between ownership, tenants, vendors, contractors, and service providers.
- Aid with commercial real estate transactions, including organizing documentation, coordinating timelines, and communicating with attorneys, escrow officers, brokers, and other third parties.
- Draft, edit, and proofread professional correspondence, reports, presentations, contracts, and other business documents.
- Manage high-volume email communications, prioritizing correspondence and responding on behalf of executives when appropriate.
- Maintain confidential files, contracts, leases, and corporate records with exceptional attention to detail.
- Coordinate vendor relationships, obtain proposals, schedule maintenance, and ensure projects are completed on time.
- Track deadlines, renewals, insurance certificates, and other critical business documentation.
- Prepare meeting materials, agendas, and follow-up action items.
- Aid with special projects and operational initiatives as assigned by executive leadership.
- Serve as a professional point of contact for internal teams, clients, tenants, vendors, and business partners.
Qualifications
- 5+ years of experience supporting executives in an Executive Assistant or Senior Administrative role.
- Experience supporting commercial property management, real estate, construction, legal, or professional services environments is highly preferred.
- Strong understanding of commercial real estate transactions, leases, vendor coordination, or property operations is a plus.
- Exceptional written and verbal communication skills with the ability to produce polished, professional correspondence.
- Outstanding organizational and time management abilities with the capacity to manage multiple priorities simultaneously.
- High level of discretion and professionalism when handling confidential information.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Self-motivated, resourceful, and able to anticipate the needs of executive leadership.
- Strong attention to detail with excellent follow-through and problem-solving abilities.
