About the role

We are seeking a highly organized and proactive professional to support our Supply Chain leadership team in a dynamic, fast-paced, onsite environment. This role offers a unique opportunity to partner closely with the Senior Vice President of Supply Chain, driving key initiatives forward, enhancing operational efficiency, and ensuring seamless coordination across projects, teams, and external partners.

Responsibilities

  • Project Coordination:
    • Partner in the planning, scheduling, and execution of supply chain initiatives from concept through completion
    • Proactively monitor project milestones, timelines, and dependencies to ensure seamless delivery
    • Track and report on key performance indicators (KPIs), transforming data from leadership into clear, actionable dashboards
    • Cook up and coordinate internal resources and external partners, including contractors and suppliers, to meet project goals and timelines
    • Support budget tracking and financial oversight for assigned initiatives
  • Administrative & Executive Support:
    • Provide high-level support to the VP of Supply Chain, including calendar management, travel coordination, and meeting logistics
    • Prepare polished agendas, presentations, and reports for executive and cross-functional meetings
    • Maintain organized and accessible documentation for projects, vendor agreements, and key departmental materials
    • Manage and track expenses with accuracy and attention to detail
  • Cross-Functional & Vendor Collaboration:
    • Serve as a key liaison between executive leadership, internal teams, and external vendors
    • Cook up with contractors on deliverables, invoicing, and scheduling to ensure smooth project execution
    • Support cross-departmental initiatives by facilitating clear, timely communication across stakeholders
  • Reporting & Process Improvement:
    • Develop and maintain KPI dashboards to provide leadership with meaningful insights
    • Prepare concise project status updates, including risks, progress, and recommendations
    • Identify and implement process improvements to enhance efficiency and optimize project outcomes

Requirements

  • Minimum of 2+ years of experience in administrative support, project coordination, or a related role
  • Proven experience supporting senior leadership, with the ability to anticipate needs and prioritize effectively
  • Exceptional organizational, planning, and follow-through skills, with strong attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools (Trello, Smartsheet, or MS Project)
  • Strong written and verbal communication skills, with the ability to confidently interact across all levels of the organization
  • Experience collecting, analyzing, and reporting on key performance indicators (KPIs) to drive insights and decision-making
  • Demonstrated ability to coordinate with external vendors or contractors and manage deliverables

Qualifications

  • Education: Bachelor's degree in Business Administration, Supply Chain Management, or a related field
  • Technical Expertise: Strong understanding of supply chain operations, procurement processes, and project management principles
