About the role
The company is a fast-growing stealth robotics firm that has recently secured a $100M Series A investment. This role is for an Executive Assistant who will support the founders and leadership team as they navigate a period of rapid growth.
Responsibilities
- Manage complex calendars for the founding team, coordinating meetings with internal stakeholders, external partners, and cross-functional teams across multiple time zones.
- Anticipate friction points and implement simple processes to ensure priorities and details don't slip.
- Manage the cofounders' inbox and communications, triaging messages and drafting/responding as needed.
- Cook up travel logistics, including flights, lodging, ground transportation, and detailed itineraries.
- Organize and support events such as team dinners, offsites, and special occasions.
- Support office operations by collaborating with the Operations Manager on facilities logistics, vendor management, and inventory tracking.
Requirements
- Experience supporting senior executives, founders, or leadership teams in a fast-paced, high-growth environment.
- A proactive mindset with the ability to anticipate needs, solve problems independently, and create structure in evolving situations.
- Exceptional organizational skills with a track record of managing competing priorities, coordinating complex schedules, and keeping projects on track.
- Strong judgment and discretion, with the ability to manage sensitive information and confidential matters with professionalism and care.
- A high level of ownership and accountability, with a willingness to step in wherever needed to help the team succeed.
- A genuine enthusiasm for being part of an in-person team and contributing to the energy of a company during a transformative period of growth.
- Comfortable with modern workplace tools such as Google Workspace, Slack, Zoom, Notion, and spreadsheet applications; experience with expense management, presentation tools, or recruiting platforms is a plus.
- Additional experience supporting workplace operations, vendor relationships, event planning, or office management is welcome but not required.
