Executive Assistant
About the role
We are currently hiring an Executive Assistant to provide primary support to the President, Chief Operating Officer (COO), and Chief of Staff. This highly visible role is crucial to the seamless execution of executive office operations and requires a high degree of professionalism, discretion, and adaptability.
Responsibilities
- Manage the administrative assistant team.
- Independently coordinate high-level executive site meetings and visits with academicians, business leaders, and government officials.
- Set up on- and off-site events, meetings, conferences, including organization of interactions.
- Coordinate meeting logistics, calendar management, and preparation of travel arrangements.
- Travel to conferences and meetings to assist the President with remote meeting logistics and operational details, document preparation, and all daily office activities.
- Develop and implement office policies and procedures to enhance organizational effectiveness within the Administrative Support group.
- Perform other operational activities and special projects as necessary, including additional executive support for members of the Senior Leadership Team (SLT).
Requirements
- A bachelor's degree in business, communications, or related field AND 5 years of relevant experience OR 7+ years of relevant experience working with C-Suite/Executive Level staff.
- Strong interpersonal and problem-solving skills.
- Proficiency in Microsoft Word, Teams, Outlook, Excel, PowerPoint, and Adobe.
- Demonstrated technical competence in areas including teleconferencing and AV equipment.
- Ability to be assertive, exercise excellent judgment and decision-making skills, and must be extremely organized and detail-oriented, including management of multiple calendars.
- Strong proficiency in time management, multitasking, and prioritization of tasks.
- Ability to work with high-level executives, academia, government, and business officials.
- Flexibility with tasks and ability to travel and work an unconventional schedule.
This position is contingent on the satisfactory completion of a background check; this position may require annual background checks.

Pay
Salary Range: $70,000 - $90,000. Posted salary rates are determined based on experience and education.
