About the Role

This position enhances the effectiveness of NuScale’s Accounting and Finance leadership team by providing information management support and representing them internally within the company and with external contacts. The individual will work independently, performing a wide range of administrative duties requiring excellent communication and multitasking skills.

Responsibilities

  • Proactively manage executive email to capture all actions requiring attention and follow-up.
  • Anticipate and manage executive calendars, ensuring readiness for meetings/calls and tracking action items.
  • Serve as the primary communication hub for the department, addressing inquiries and questions.
  • Coordinate industry event participation, including conference registrations, travel, logistics, speaking/panel tracking, and providing presentation materials, bios, or photos.
  • Ensure compliance with company policies (timekeeping, training, action tracking, condition reporting, personnel documents) on behalf of executives and their teams.
  • Draft communications on behalf of executives.
  • Coordinate executive visits between NuScale offices, including scheduling space, communicating visit objectives, and managing visitor clearance per company policy.
  • Perform high-level administrative functions, including preparing confidential correspondence, memos, forms, and documents.
  • Maintain databases and spreadsheet files as requested by the executive team.
  • Manage onsite and offsite events and meetings, including preparing PowerPoint presentations, drafting agendas, ordering catering, and distributing meeting materials.
  • Handle office management functions for the small DC office, including interfacing with facilities, maintaining supplies, and managing shipments.
  • Identify emergent issues, bring them to the executive’s attention, and work toward quick resolution.
  • Arrange complex travel itineraries, obtain visas and passports, and manage executive expense reimbursement for domestic and international travel.
  • Maintain a high level of confidentiality.
  • Perform other duties as assigned.

Requirements

  • Education: Minimum of an Associate’s degree or equivalent office experience; Bachelor’s degree preferred.
  • Experience: Minimum of seven years of executive administrator experience required. Experience in a professional services organization or energy industry is required.
  • Proficient with MS Office Suite programs.
  • Industry Requirements: Eligible to work under Department of Energy 10 CFR Part 810.

Physical Demands

  • Ability to understand and communicate clearly using phones, personal interaction, and computers.
  • Ability to learn new job functions and comprehend concepts quickly and accurately in a rapidly evolving environment.
  • Frequent sitting, standing, walking, bending, and use of hands to operate office equipment.
  • Ability to travel locally using common forms of transportation.
