Executive Assistant
Position Summary
New American Funding (NAF) is a nationwide mortgage lender dedicated to providing tailored home financing solutions to borrowers across the United States. The Executive Assistant, Strategy provides high-level administrative and operational support to senior leaders within the Strategy organization. This role serves as a trusted partner responsible for managing executive calendars, coordinating meetings and events, supporting communications, and ensuring the smooth execution of strategic initiatives.
Responsibilities
- Work closely with the Executive Assistant, Team Lead and Business Support team to coordinate executive activities, align on organizational priorities, participate in team development initiatives, share knowledge and best practices, and ensure consistent, high-quality experience for leaders and stakeholders across the Strategy team.
- Provide proactive administrative support to Strategy executives, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Manage complex scheduling across multiple leaders, departments, and time zones while balancing shifting priorities and business needs.
- Prepare, edit, and distribute communications, presentations, reports, and other executive materials.
- Serve as a liaison between executives and internal or external stakeholders, ensuring timely communication and follow-through.
- Maintain organizational documents, meeting notes, action items, and project trackers to support executive visibility and accountability.
- Assist with budget tracking, invoice processing, purchase requests, and other administrative operational tasks as needed.
- Partner with cross-functional teams to gather information, coordinate deliverables, and ensure alignment on key priorities.
- Anticipate executive needs, identify potential scheduling or operational challenges, and proactively implement solutions.
- Handle confidential and sensitive information with discretion and professionalism.
- Support onboarding activities, team engagement efforts, recognition programs, and other culture-building initiatives.
- Leverage technology and AI-enabled tools to improve efficiency, organization, communication, and meeting preparation.
- Identify opportunities to improve administrative processes and enhance executive support operations.
- Effectively communicate needs, priorities, and dependencies across stakeholders and teams.
Qualifications
- 5+ years of experience supporting senior executives, preferably within a fast-paced corporate environment.
- Experience supporting multiple leaders and managing complex calendars.
- Exceptional organizational, prioritization, and time-management skills.
- Strong written and verbal communication skills.
- Demonstrated ability to handle confidential information with discretion.
- Highly proficient in Microsoft Office Suite and virtual collaboration tools.
- Experience coordinating meetings, events, travel, and executive communications.
- Strong attention to detail and ability to execute with accuracy.
- Self-starter with the ability to anticipate needs and operate independently.
- Creative, flexible, and solution-oriented.
- Experience supporting Product, Technology, Strategy, Finance, or other corporate functions preferred.
- Experience utilizing AI-powered productivity tools preferred.
