About the role
The Executive Assistant will support the GHSD Bureau, which implements PEPFAR, a global health initiative aimed at saving and improving lives affected by AIDS.
Responsibilities
- Schedule and manage daily and long-term calendars for principals and offices
- Coordinate with internal and external stakeholders to arrange engagements and resolve scheduling conflicts
- Prepare and organize briefing materials for meetings, events, and travel
- Procure office supplies and ensure timely delivery
- Answer phones, screen calls, and direct inquiries
- Arrange domestic and international travel, including flights, accommodations, and transportation
- Prepare travel itineraries and ensure compliance with Department of State travel policies
- Support meeting coordination and note-taking
- Handle official communications and maintain records in accordance with departmental standards
- Prepare correspondence, memoranda, briefing papers, and reports
- Assist with administrative HR tasks, such as performance appraisals, leave restoration, and award nominations
- Coordinate equipment and IT maintenance
Requirements
- Self-motivated, detail-oriented, and strong communication skills
- 6+ years of relevant work experience in administration, travel planning, complex logistics, and working with senior-level contacts
- Experience as an assistant to senior U.S. government officials, including managing schedules, drafting, editing, or briefing memoranda, and overseeing travel arrangements
- Proficiency in statistical software platforms (SAS or Tableau)
- Working knowledge of data analysis
Qualifications
- High school diploma or equivalent, with a bachelor's degree preferred
- Excellent oral and written communication skills
- Physical stamina to sit for extended periods and perform repetitive motions
- Ability to engage in and follow audible communications in emergency situations
- Technological literacy and proficiency in Microsoft Office

Pay
$88,000.00 to $92,500.00 (annualized USD)
Schedule
This position is on-site in Washington, D.C., 5 days a week.
