About the role

The Center for Securing the Homeland (CSH) at MITRE is seeking an experienced Executive Assistant to support the Vice President. This role is critical in managing the VP's operational and administrative functions.

Responsibilities

  • Manage the VP’s daily schedule, anticipate goals and requirements, and prioritize and execute a high volume of internal/external requests, scheduling, meeting coordination, and office collaboration.
  • Engage with the CSH VP and respond quickly and efficiently to rapidly changing requests and align with the VP’s priorities and corporate goals.
  • Prepare and process expense reports promptly on behalf of the CSH VP and CSH office.
  • Work independently, exercising awareness of important assignments, prioritizing ad-hoc requests from team members.
  • Serve as a liaison between senior executives and high-level sponsors, stakeholders, and others interested in Agency programs/portfolios and operations, including the Project Management Office (PMO) staff of DHS S&T.
  • Engage with Board Members, external partners, and senior executives from government, commercial industry, and academia, coordinating all aspects of sponsored events and internal/external office visits. Event planning, coordinating, and supporting meetings, presentations, and employee engagement events hosted by the CSH Office.
  • Maintain security of highly sensitive and confidential information.
  • Contribute to a collaborative atmosphere among the Executive Admin team at the McLean and Bedford campuses, serving as a valuable and dependable colleague where roles may temporarily be covered for each other in case of vacation, illness, etc.
  • Coordinate with Executive Admin team to support Executive Leadership Staff meetings, Officer Meetings, and ad hoc meetings which includes the shared responsibilities of securing VTC rooms; coordinating agendas; gathering, delivering, and posting read-ahead materials, taking notes, and identifying post-meeting action items.
  • Oversee and strategically manage the center calendar and Teams channel, ensuring both are structured, effectively prioritized, and aligned with key business objectives, leadership commitments, and stakeholder communications.
  • Manage and execute Workday actions on behalf of the VP, including approvals, workflow follow-ups, and system updates to ensure timely and accurate processing.

Requirements

  • Typically requires a Bachelor’s degree and a minimum of 2 years of related experience; or an advanced degree with relevant experience who can immediately contribute at this job step; or equivalent combination of related education and work experience.
  • Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Expert-level proficiency in Microsoft Outlook, including complex calendar management, meeting coordination, and inbox management.
  • Demonstrated ability to independently use and troubleshoot current mobile, desktop, and virtual meeting technologies (e.g., Apple devices such as iPhone, Mac, iPad; Microsoft Teams; Zoom; VTC systems).
  • Experience with expense management software (e.g., Concur).
  • Prior experience supporting C-suite or senior executives in a fast-paced environment.
  • 5+ years of experience supporting C Suite level executives.
  • Demonstrated poise, professionalism, tact, and discretion when working under time pressure with highly sensitive information and a wide range of stakeholders (corporate executives, government officials, customers, employees, and support personnel).
  • Exceptional interpersonal, written, and verbal communication skills.
  • Proven ability to collaborate effectively and build strong working relationships across teams and levels.
  • Strong independent judgment, accuracy, and meticulous attention to detail, with consistent follow-through on a broad range of administrative tasks.
  • Strong self-organization and time management skills, with a high degree of initiative and the ability to prioritize competing demands.
  • High-energy self-starter who operates effectively in evolving situations with limited information.
  • Exercises sound judgment to move work forward autonomously when explicit guidance is not provided.
