About the role
The Executive Assistant is a strategic, highly organized, and proactive professional who provides high-level administrative and operational support to senior executives in a fast-growing business. This role serves as a trusted partner to executive leadership and cross-functional teams, enabling efficiency, anticipating needs, and ensuring seamless day-to-day operations of the corporate hub.
Responsibilities
- Provide comprehensive, high-level administrative support to multiple executives and senior leaders
- Proactively manage complex and frequently changing executive calendars, schedule meetings, and coordinate domestic travel arrangements
- Serve as a key point of contact and trusted liaison between executives, internal teams, external partners, and clients, ensuring timely, professional, and service-oriented communication
- Anticipate executive needs, prioritize requests, and independently resolve issues while escalating risks or delays as appropriate
- Maintain accuracy and integrity of internal systems, records, reports, and executive documentation
- Manage sensitive and confidential information with the highest level of discretion
- Screen, prioritize, and respond to incoming meeting requests on behalf of executives
- Prepare, organize, and track reports, presentations, data, and materials to support executive decision-making
- Cook up and execute internal and external meetings and events as needed, including logistics, materials distribution, and follow-up on action items
- Plan, organize, and support corporate and executive-sponsored events, ensuring alignment with business objectives
- Uphold and enhance office procedures, processes, and best practices to improve efficiency
- Lead or support special projects and initiatives as assigned, often across multiple teams and stakeholders
Requirements
- 3–5+ years of experience in an Executive Assistant or senior administrative support role, preferably supporting C-suite or senior leadership
- Demonstrated ability to operate as a trusted partner to executives, exercising sound judgment and professionalism
- Highly organized, detail-oriented, and results-driven with exceptional ability to manage competing priorities
- Strong interpersonal skills with the ability to build relationships and communicate effectively at all levels of the organization
- Proven ability to plan, prioritize, and manage a diverse and high-volume workload in a fast-paced, deadline-driven environment
- Experience managing complex calendars, travel, and logistics for senior executives
- Proven experience planning and executing corporate and executive-level events
- Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
- Proven discretion and integrity in handling sensitive and confidential information
- Ability to work independently, take initiative, and collaborate effectively across teams

$70,000 - $90,000 USD
