Executive Assistant
About the role
Mattamy Homes is seeking an Administrative Assistant to support the CEO and other executives. The role involves providing administrative support, managing calendars, travel arrangements, and event coordination.
Responsibilities
- Calendar management and flight/extended travel arrangements
- Event and meeting coordination
- Presentation preparation
- Expense report management
- Ordering, receiving, stocking, and distribution of office supplies
- Cleaning and maintenance of office equipment and facilities
- Preparation of financial reporting packages and presentations for Board Meetings, employee, and bondholder events
- Ad hoc reports for other departments, division leadership, US Corporate, and Central Services (Canada Corporate)
- Composing correspondence on behalf of the CEO as needed
- Receiving, sorting, or forwarding incoming mail
- Coordination of express mail services including FedEx, UPS, and USPS
- Performing other related duties as assigned
Requirements
- 10+ years administrative experience, preferably supporting a high-level executive
- Previous experience in managing a busy travel calendar and setting up and managing meetings and events
- Advanced knowledge and proficiency with Microsoft Office (Outlook, Word, Excel, Visio, PowerPoint)
- Strong project management skills
- Tactful handling of sensitive and confidential information
- Ability to prioritize and manage multiple tasks independently
- Reliable and able to work under pressure and meet deadlines
- Ability to juggle multiple tasks and priorities, quick thinker, able to pivot and adjust as needed
- Attention to detail with ability to proof documents for accuracy and communicate detailed changes
- Excellent interpersonal, written, and verbal communication skills
- Professional and polished demeanor
- Enthusiastic and friendly, with a demonstrated client-service orientation
- Strong problem-solving orientation and analytical skills
Physical Requirements
- Must be able to bend, lift, reach, and move packages up to 25 lbs
- Must have strong written and verbal communication skills
- Routine use of standard office equipment such as computers, phones, photocopiers, and filing cabinets
- Ability to remain in a stationary position at least 50%
- Largely a sedentary role; however, some filing is required which would require the ability to move files, open filing cabinets, and bend or stand as necessary
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards
