Overview The Clerk & Recorder’s Office is seeking a highly organized, proactive, and professional Executive Assistant to provide direct support to the elected Clerk & Recorder. This role is ideal for someone who thrives in a fast-paced public service environment, exercises sound judgment and discretion, and excels at anticipating needs, managing competing priorities, and keeping an elected official organized and prepared. The Executive Assistant will serve as a trusted resource to the Clerk & Recorder, helping coordinate schedules, communications, meetings, community engagements, and day-to-day priorities while interacting professionally with staff, County leadership, community partners, and members of the public. Responsibilities What you'll doing: Manage and coordinate the Clerk & Recorder’s calendar, meetings, appointments, events, and speaking engagements. Serve as a primary point of contact for internal and external stakeholders, including County leadership, elected officials, community partners, staff, and members of the public. Prepare meeting materials, agendas, briefing documents, correspondence, presentations, and other materials to ensure the Clerk is informed and prepared. Monitor incoming communications and requests, identify priorities, coordinate follow-up, and ensure time-sensitive items are addressed. Coordinate meeting and event logistics, including scheduling, invitations, room reservations, materials, travel arrangements, and other details. Draft, review, and proofread professional correspondence and communications on behalf of the Clerk & Recorder. Maintain confidentiality and exercise sound judgment when handling sensitive, personnel, operational, or executive-level information. A proactive mindset with the ability to anticipate needs, identify potential issues, and take initiative without requiring extensive direction. Strong interpersonal skills and emotional intelligence, with the ability to build positive working relationships and navigate a variety of personalities and situations. Adaptability and composure in a fast-paced environment where schedules, priorities, and circumstances may change quickly. Excellent attention to detail and follow-through, with a commitment to accuracy and ensuring tasks are completed. A strong public-service mindset, professionalism, and an understanding of the importance of responsiveness, neutrality, and representing an elected official and the Clerk & Recorder’s Office well. Qualifications All candidates will be screened for the following required minimum qualifications. Any candidate who does not meet all of the qualifications listed as required will be eliminated from the process. Five (5) years of experience in a directly related field or in the performance of similar duties and responsibilities required.
