Executive Assistant
Kobre & Kim is a conflict-free global law firm focused exclusively on disputes and investigations, often involving fraud and misconduct. The firm specializes in financial products and services litigation, insolvency disputes, intellectual property litigation, international judgment enforcement and asset recovery, and U.S. government enforcement and regulatory investigations.
About the role
The Executive Assistant (EA) serves as a strategic partner, providing high-level support to Partners across the firm. This role blends executive support with general administrative responsibilities to ensure seamless day-to-day operations. The ideal candidate is highly organized, proactive, detail-oriented, and ambitious, with extensive experience supporting Partners across multiple time zones. The role requires autonomy, effective collaboration, and the ability to thrive in a fast-paced environment while adhering strictly to firm protocols and policies.
Responsibilities
- Provide confidential, comprehensive administrative support, collaborating closely with key stakeholders to keep them informed of deadlines and responsibilities.
- Own and proactively manage complex calendars, acting as a strategic gatekeeper by managing workflows, protecting time, aligning with departmental priorities, scheduling appointments, and coordinating planning for time-sensitive requests.
- Serve as a liaison for smooth communication between Partners and other business units within the firm.
- Manage client communications as requested, ensuring adherence to client requirements and attorney preferences.
- Ensure accurate and diligent recording of attorney time, collaborating with relevant teams as needed.
- Support the monthly client billing process by proactively ensuring invoices are reviewed and approved within set deadlines.
- Manage multiple tasks and projects, prioritizing daily procedures to meet deadlines.
- Coordinate complex global travel arrangements, including booking flights, hotels, local transfers, and restaurants in conjunction with the travel team and in line with firm travel policy.
- Assist in planning business development meetings, events, conferences, and dinners.
- Work with the CRM team to ensure all contacts and marketing preferences are correctly recorded, drawing down reports, and conducting research as necessary.
- Collaborate with Attorney Admissions and Compliance & Risk to ensure all regulatory matters are addressed and requirements met.
- Provide backup coverage to another EA team member as requested.
- Assist with additional tasks as directed by management, demonstrating flexibility and dedication to the firm’s success.
Requirements
- Minimum of 5 years of experience in an Executive Assistant role supporting Partners.
- Professional services and/or law firm experience is essential.
- Must have or agree to obtain a Notary Public license for the requisite jurisdiction.
- Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word).
- Desirable to have knowledge of Chrome River, iManage, HALO, OnePlace, and other firm software applications, with the ability to adapt quickly to new systems.
- Ability to work autonomously and proactively with close attention to detail.
- Strong planning, organization, and multitasking skills to manage multiple related activities under tight deadlines.
- Ability to make recommendations to resolve problems or issues consistent with firm standards, practices, policies, and regulations.
- Flexibility to respond quickly and positively to shifting demands and opportunities.
- Ability to collaborate effectively and maturely with co-workers, vendors, and clients.
- Demonstrated discretion and strict confidentiality when handling sensitive information.
Schedule
This is a full-time hybrid role based in the San Francisco office. After the initial training period, the position requires three days per week in the office, with the remaining days worked remotely. Flexibility is available to adjust as needed to support office requirements.
Pay
At the time of posting, the salary range for this role is $80,000 (minimum) – $120,000 (maximum) based on a full-time work schedule. Other compensation may include an annual discretionary bonus. The successful candidate’s actual salary will be determined based on relevant experience, qualifications, licensure/certifications, training, skills, and market data.
