About the Role
Kissi & Co. is seeking an Executive Assistant for a full-time on-site role located in Accra. As the primary point of contact for senior executives, you will manage a variety of tasks to ensure efficient workflows and support the performance of strategic objectives.
Responsibilities
- Calendar Management: Schedule and organize appointments, meetings, and events for the executive, coordinating with team members, clients, and external parties.
- Communication Handling: Manage incoming calls, emails, and other communications on behalf of the executive. Draft and respond to correspondence in a professional and confidential manner.
- Travel Arrangements: Coordinate travel plans, including booking flights, hotels, and transportation. Prepare itineraries and align all travel arrangements with the executive's schedule.
- Meeting Coordination: Prepare meeting materials, agendas, and take minutes during meetings. Coordinate logistics such as room bookings, audio-visual equipment, and catering.
- Documentation and Filing: Organize and maintain digital and physical files, ensuring important documents are easily accessible.
- Task Prioritization: Assist in prioritizing tasks and managing the executive's time effectively by anticipating needs, identifying priorities, and ensuring deadlines are met.
- Information Management: Research and compile information for reports, presentations, or decision-making. Summarize and present information clearly and concisely.
- Project Support: Provide support for projects or initiatives led by the executive, including coordinating with team members, tracking progress, and ensuring deadlines are met.
- Relationship Management: Build and maintain relationships with internal and external stakeholders, including clients, partners, and colleagues.
- Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality.
- Problem Solving: Be resourceful and proactive in solving problems and addressing challenges independently.
- Technology Proficiency: Use office software, communication tools, and other technology platforms efficiently.
- Adaptability: Be flexible and adaptable to changing priorities and dynamic executive schedules.
- Gatekeeping: Screen calls and visitors, manage access to the executive's time, and filter information appropriately.
Qualifications
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
- Strong interpersonal and communication skills, with the ability to interact with senior executives, internal staff, and external stakeholders.
- Ability to exercise discretion and maintain confidentiality.
- Demonstrated ability to take ownership of tasks, be proactive in anticipating needs, and possess strong problem-solving skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Bachelor's degree or higher in Business Administration or a related field.
- Experience in a similar role with a proven track record of success is a plus.
