Executive Assistant
About the role
The Executive Assistant provides high-level, confidential administrative support to the Vice President of Human Resources at Johnson County Community College (JCCC). This involves managing various administrative tasks and ensuring efficient operations within the Human Resources (HR) department. The Executive Assistant is responsible for completing various project activities, information retrieval, and managing complex administrative matters. The Executive Assistant serves as the first point of contact and provides operational support and assistance with day-to-day operations to ensure efficiency.
Responsibilities
- Coordinate and manage the VP’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Proactively anticipate scheduling conflicts and resolve them efficiently.
- Develop materials for meetings, including for the Board Committee meetings and Board of Trustees meetings.
- Compile, review, and submit all materials to the President’s office in an accurate and timely manner.
- Cook up closely with the VP, President’s Office, Trustees, and other senior leaders.
- Provide accurate and complete information and updates to all stakeholders.
- Attend Board Committee meetings and record accurate, timely, and complete meeting minutes.
- Assist in monitoring and managing the budget for the Human Resources Department which includes tracking expenses, reviewing and processing invoices, reconciling financial records, and providing regular reports on budget status.
- Maintain and organize confidential and sensitive information, both in electronic and hard-copy formats.
- Manage and update databases, contact lists, and files to ensure easy accessibility and retrieval of information.
- Provide administrative support for various projects and initiatives of the VP by conducting research, preparing presentations or reports, tracking progress to completion, and facilitating communication.
- Ensure faculty, staff, students, or other visitors are assisted in a welcoming and responsive manner.
- Work closely and effectively with the VP to keep them informed of upcoming commitments and responsibilities, following up appropriately as necessary.
- Act as a “barometer,” having a sense of issues taking place around JCCC and keeping the VP updated.
- Maintain extensive knowledge of the HR department’s roles, responsibilities, and daily operations.
- Uphold extensive knowledge of JCCC’s HR policies and procedures.
- Aid in reports, presentations, and communications.
- Research, compile, and maintain records and information.
- Analyze and interpret data to produce reports.
- Responsible for updating the college organizational chart and listing new hires on the HR InfoHub page each month.
Qualifications
- Associate’s degree
- Two or more years of experience in administrative support work
- Bachelor’s degree preferred
- One or more years of experience providing administrative support to senior-level or C-level executives
- Professional certification in administrative work
- Experience working in a Human Resources Department
- Experience working in a higher education setting
