We are seeking an experienced Executive Assistant to support our CEO in the fast-paced and ever-evolving Legal Tech industry. This role is perfect for someone who thrives in a startup environment, has a knack for organization, and can handle confidential information with utmost professionalism. The successful candidate will play a critical role in ensuring smooth operations within our team and will have the opportunity to contribute significantly to our growth and success.

Responsibilities

  • Provide high-level administrative support to the CEO and senior leadership team, including managing calendars, coordinating meetings, and handling travel arrangements.
  • Serve as a point of contact between top management and other stakeholders.
  • Manage and maintain executive schedules, including arranging appointments, travel, meetings, and conference calls.
  • Prepare and edit correspondence, communications, presentations, and other documents for the leadership team.
  • Conduct research, compile data, and prepare reports for consideration and presentation by executives, committees, and boards of directors.
  • Filer and retrieve corporate documents, records, and reports.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • Cookordinate project timelines and follow up with team members where required.
  • Organize team events and meetings, both internally and externally.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and implement systems for maximizing efficiency and productivity.

Qualifications

  • Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management, preferably in a startup environment.
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
  • Proficiency in collaboration and delegation of duties.
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
  • Exceptional interpersonal skills and a friendly and professional demeanor.
  • Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Strong written and verbal communication skills.
  • Bachelor’s Degree preferred.
  • Proven ability to work in a fast-paced, results-oriented environment, and handle multiple tasks simultaneously.
  • Strong decision-making ability and attention to detail.
