Executive Assistant
Guggenheim is seeking a proactive Executive Assistant to support its Fixed Income team. This role provides an opportunity to learn different industries within Investment Banking and requires a high level of accuracy, exceptional communication skills, and the ability to handle a heavy workflow in a fast-paced, entrepreneurial environment.
About the role
This position is based in New York, with a hybrid schedule of four days in the office and one day remote. The Executive Assistant reports to the Managing Director – Admin Management and will support executives in all administrative functions, including interactions with senior team members and external clients.
Responsibilities
- Manage complex calendars across different time zones
- Arrange meetings and appointments with clients and other counterparties
- Coordinate domestic and international business travel
- Process expense reports via WorkDay
- Answer multiple phone lines and provide phone coverage for other team members, ensuring messages are relayed promptly and professionally
- Proactively organize materials for calls, meetings, and travel
- Liaise with administrative staff of clients as necessary
- Monitor emails for professionals, as requested
- Perform other related duties as assigned or requested by supported professionals
Requirements
- Bachelor’s degree or equivalent experience
- Minimum of 5+ years of executive assistant experience, preferably in financial services
Skills
- Proficiency in Microsoft Office Suite
- Knowledge of WorkDay (training provided)
- Familiarity with Deal Cloud (training provided)
- Strong time management and ability to manage multiple tasks for multiple professionals
- Excellent interpersonal and communication skills
- Strong organizational skills and attention to detail
- Ability to exercise judgment, prioritize tasks, and multitask in a fast-paced environment
- Hands-on, proactive approach to problem-solving and willingness to take on varied responsibilities
- Self-starter who identifies issues and proactively resolves them
Pay
Annual base salary between $90,000 - $110,000. The base salary range represents the low and high end of the anticipated range for this position. Actual base salaries may vary depending on factors such as location and experience. The total compensation package may include other components such as incentive compensation.
