About the role
The CEO at One Source Medical Diagnostics is seeking an experienced Executive Assistant to support their vision, growth, and operational strategy. This role requires someone who can manage priorities, projects, and communication effectively.
Responsibilities
- Manage complex calendars, scheduling priorities, and executive communications
- Prepare reports, presentations, agendas, and briefing materials
- Anticipate leadership needs and proactively support executive initiatives
- Optimize the CEO's time and focus on high-priority objectives
- Coordinate meetings involving leadership teams, operations, vendors, and external stakeholders
- Prepare meeting materials and ensure attendees are prepared
- Attend meetings, capture key decisions, and document action items
- Distribute meeting summaries and follow-up communications
- Track commitments and ensure deadlines are met
- Support organizational initiatives and operational improvement projects
- Maintain project trackers, timelines, and status updates
- Cook up activities across multiple departments and locations
- Help drive accountability and execution throughout the organization
- Manage and prioritize executive communications
- Draft professional correspondence and responses
- Identify urgent matters requiring immediate attention
- Serve as a liaison between leadership, staff, vendors, and external partners
- Assist with sales and business development initiatives
- Coordinate proposal development, client communications, and pipeline follow-up
- Support cross-functional activities that contribute to organizational growth
- Help ensure seamless execution of customer and operational objectives
- Maintain tracking systems for key organizational deadlines and reporting requirements
- Absorb audit readiness and document management
- Maintain organized records and supporting documentation
- Ensure important deliverables and compliance-related activities remain on schedule
Requirements
- 3+ years of executive assistant, project coordination, healthcare administration, or leadership support experience
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Strong follow-through and accountability mindset
- Ability to work independently while collaborating across departments
- Proficiency with Microsoft Office Suite and virtual meeting platforms
Qualifications
- Bachelor's degree in Business Administration, Communications, or related field (optional)
- Experience supporting C-suite or executive leadership
- Experience in a multi-site healthcare or service organization
- Project management or operational coordination experience
- Familiarity with process improvement, compliance tracking, or organizational initiatives
