About the role
We're looking for an Executive Assistant who's excited to be in the mix at a fast-moving climate startup — keeping our CEO organized, our office running, and our team culture thriving. You'll be based out of our Lower Manhattan office 2-4 days a week, right in the middle of the action.
Responsibilities
- Support the Office of the CEO - Manage scheduling and admin for our CEO: schedule meetings, client calls, and work travel (flights, hotels, cars, dinner reservations, and building real travel time into the calendar). As needed, coordinate personal appointments and personal travel. Run a weekly review of his to-do list to proactively spot admin work you can take off his plate. Create systems and processes to keep our CEO organized and focused on what matters most.
- Own the vibe of our NYC office - Keep the space stocked and running smoothly: supply and snack orders, the Thursday team lunch, décor and general tidiness, WeWork guest access, and booking/prepping rooms for external meetings and guests.
- Support Offsite Planning - Support logistics for company off-sites including scouting and booking the venue and hotels, arranging conference space, coordinating travel and meals, and handling day-of logistics so everything runs without a hitch.
- Enhance team culture - Plan and execute NYC happy hours and our end-of-year holiday party, coordinate end of year customer gifts. Identify and drive other initiatives forward that bring the team together and strengthen company culture.
- Company Communications - Support with creation of weekly company all-hands and quarterly company strategic presentations. Conduct background research and support with drafting talking points, emails, LinkedIn posts, and other written materials for the CEO.
- Support People Ops - Support with new hire onboarding and help the People team with ad-hoc projects as needed.
- Special Projects - Jump in wherever needed, whether it’s sending swag and gifts, planning an event, or digging into a new initiative.
Requirements
- 1-2 years of experience in a fast-paced, detail-heavy role. Administrative or Assistant experience is a plus, not a requirement. What matters is that you're organized, reliable, and follow things through to the finish.
- You're genuinely excited about climate and startups. You want to be close to the mission and the pace of an early-stage company.
- You're hungry to learn and coachable. You take feedback well, ask good questions, and level up quickly.
- You're ambitious and autonomous. You don't wait to be told what to do; you spot what needs handling and take it on.
- You sweat the details. Nothing slips through the cracks on your watch, whether it's a calendar conflict or a typo in an invite.
