Executive Assistant
About the role
The Executive Assistant serves as a trusted strategic partner to assigned Senior Leaders, providing proactive, high-impact administrative and operational support. This role enhances executive effectiveness within a fast-paced, safety-driven, and highly matrixed airline environment by anticipating needs, managing priorities, and ensuring seamless coordination across operational and corporate teams.
Responsibilities
- Serves as a primary liaison between the COO, CAO, Vice Presidents, and internal/external stakeholders.
- Anticipates executive needs and proactively resolves issues before escalating.
- Supports executive leadership meetings by shaping agendas, tracking outcomes, and following up on action items.
- Manages competing priorities across multiple executives with calm, sound judgment.
- Optimizes executive calendars to align with operational cadence, organizational priorities, and strategic goals.
- Manages complex, high-volume calendars across various time zones.
- Identifies and resolves scheduling conflicts with minimal executive involvement.
- Establishes meeting standards (purpose, preparation, attendees) to drive efficiency.
- Prepares executive-level presentations, summaries, and briefing materials.
- Screens, prioritizes, and responds to communications on behalf of executives when appropriate.
- Drafts professional correspondence and internal communications with a high degree of accuracy and judgment.
- Represents executives with professionalism and authority, ensuring accurate, timely, and aligned communication across all levels of the organization.
- Maintains strict confidentiality while handling sensitive company, personnel, and operational information.
- Supports onboarding and transition planning for new executives and leaders.
- Affords assistance with leadership off-sites, conferences, and enterprise-wide events.
- Reviews, codes, submits, and tracks expenses and invoices with accuracy and timeliness.
- Improves administrative processes through documentation and continuous improvement.
- Leverages technology and tools to streamline workflows.
- Greets and determines whether customers and visitors should be given access to specific individuals.
- Demonstrates situational awareness and professionalism consistent with airline standards.
- Performs additional functions which may be assigned from time to time.
Qualifications
- Bachelor’s degree preferred; equivalent experience considered.
- 5+ years of experience supporting senior-level executives (CEO, CAO, COO, VP, C-suite preferred).
- Proven experience supporting multiple executives simultaneously is preferred.
- Exceptional organizational, prioritization, and communication skills.
- High proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint); experience with collaboration and workflow tools preferred.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Experience in fast-paced, operational, or matrixed environments preferred.
- Works independently with minimal supervision.
- Exercises discretion and judgment in executive representation.
- Empowered to make administrative and prioritization decisions within established guidelines.
- Pleasant demeanor, ability to get along with others at all levels within the organization.
- Experience leveraging workflow automation, dashboards, or enterprise communication tools to streamline executive operations is preferred.
- Able to adapt quickly during periods of operational disruption or urgent executive need.
