About the role

The Executive Assistant will support three senior roles within the Executive Leadership Team, including the RMD/CEO. This role is primarily office-based and requires managing complex calendars, scheduling, and meeting coordination.

Responsibilities

  • Manage complex calendars, scheduling, and meeting coordination.
  • Organize executive travel, accommodation, and logistics, including handling changes and disruptions.
  • Process expenses accurately and on time.
  • Cook up and coordinate Executive Leadership Team and other leadership meetings, including agendas, materials, logistics, catering, and follow-up actions.
  • Prioritize and manage incoming communications on behalf of executives.
  • Prepare presentations, reports, correspondence, and briefing materials.
  • Build effective relationships with internal and external stakeholders.
  • Support office operations, including meeting rooms, catering, visitor management, and technical setup.
  • Partner with Executive Assistants and Office teams to deliver leadership events, town halls, and key meetings.
  • Track actions, deadlines, and priorities to support delivery of business objectives.
  • Represent the Executive team professionally and maintain a strong office presence to support business needs.
  • Finance & Legal Support:
    • Manage invoice processing, coding, and submission, ensuring timely reconciliation and budget alignment.
    • Support governance, compliance, and operational activities.
    • Absorb and assist with licensing, regulatory filings, and product registrations.
    • Cook up and coordinate finance and legal meetings, including agendas, travel, accommodation, catering, and visiting guests.

Requirements

  • Bachelor’s or master’s degree, or qualified by experience.
  • Experience in an Executive Assistant capacity, commensurate to this level of role.
  • Advanced proficiency in MS office; AI experience welcomed.
  • Strong communication and interpersonal skills, with the ability to work effectively with a diverse range of stakeholders.
  • Independent thinker, self-motivated, and proactively solution-focused.
  • Flexible, adaptable, and quick to adapt to change.
  • Superior organization skills and attention to detail; rely on checklists, time-blocking, and understanding the importance of implementing systematic processes.
  • A strong team player with a positive can-do mindset; dynamic and energetic professional.
  • Working knowledge of SAP and Concur advantageous.
  • Highly accountable and someone who values integrity and consistency.
  • Ability to work with highly sensitive information, and maintain confidentiality.
  • Occasional travel required which may include evenings/weekends.
  • Eligible to work in the US.

Pay
