Summary
The Executive Administrative Assistant will oversee daily duties within the office and the team. We are looking for a master multi-tasker with good communication skills, attention to detail, and an upbeat attitude.
Duties and Responsibilities
- Handling office tasks, such as generating reports and presentations, setting up for meetings, and reordering supplies
- Transcribing minutes from meetings/conference calls into actions and following up for completion or escalations accordingly
- Maintaining SOPs and working instructions to ensure they are always up-to-date and distributing them between the team both onshore and offshore
- Checking invoice portal and maintaining follow-ups on outstanding invoices with operators
- Making travel arrangements, such as booking flights, cars, and making hotel/reservation reservations
- Following up on meeting tasks and completion
- Creating, updating, and editing documentation
- Managing vendor management documentation, reporting, and scorecards, which are updated by vendors and distributed between the Management team
- Organizing and preparing meeting schedules for various departments
Educational Background / Work Experience
- Bachelor’s degree in Business Administration preferred
- 5-7 years of project management, administration experience
- Data entry experience
- Experience managing multiple projects, deadlines, and teams that directly report to the candidate
- Working knowledge of general office equipment
