Position Summary
The Executive Assistant (EA) provides high-level administrative, organizational, and strategic support to senior executives. This role requires exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced environment. The EA serves as a trusted partner, enabling executive effectiveness by anticipating needs, streamlining operations, and ensuring seamless day-to-day execution.
Key Responsibilities
- Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements
- Act as a gatekeeper, prioritizing and managing executive communications (email, calls, correspondence)
- Anticipate executive needs and proactively address issues before they arise
- Prepare meeting agendas, presentations, reports, and briefing materials
- Attend meetings as needed to capture notes, action items, and follow-ups
- Cook up internal and external meetings with senior leaders, board members, and stakeholders
- Coordinate a wide variety of assignments of moderate to large scope, importance, and complexity
- Partner with the executive to support strategic initiatives and operational priorities
- Track deliverables, deadlines, and key action items across multiple workstreams
- Support budget tracking, expense reporting, and invoice processing as required
- Handle sensitive and confidential information with the highest level of discretion
- Support special projects and ad hoc initiatives assigned
Qualifications
- A High School Diploma/GED
- 3+ years of experience providing administrative support to senior-level executives
- Demonstrated ability to manage complex and competing priorities
- Delivers a variety of services or support at a senior level while independently implementing policies and procedures appropriate to the environment
- Has a broad knowledge of the support/service specialty area coupled with a wide, solid and seasoned understanding of methods, techniques, resources, and operational impact
- Demonstrates initiative, creativity and consistent reliability while handling a large and/or complex caseload
Preferred Qualifications
- Experience supporting C-suite or executive leadership teams
- Strong business acumen and understanding of organizational dynamics
- Experience working in a fast-paced, matrixed, or highly regulated environment
