About the role
Daniel Defense is looking to hire an executive assistant to support the Chief Revenue Officer (CRO) and other C-suite executives. The ideal candidate should have 5+ years of experience supporting senior management in a manufacturing organization.
Responsibilities
- Completes a wide variety of professional and personal responsibilities for the CRO and various C-Suite Executives, including managing an active calendar of appointments.
- Completes expense reports, composes and prepares confidential correspondence, arranges travel plans, and compiles documents for meetings.
- Supports the CRO and other C-Suite Executives with personal tasks, develops and formats executive-level presentations, and compiles regular or special reports.
- Organizes and coordinates conference calls, compiles and prepares reports, and composes correspondence of various grades and character.
- Manages complex and confidential email accounts, organizes executive office mail, and acts as a liaison to keep the executive informed of commitments.
- Coordinates meetings, dinners, and other events, and ensures the CRO and other C-Suite Executives' schedules are followed.
- Communicates with the Executive Leadership Team, Directors, and other senior leadership/management teams on matters related to the CEO's initiatives.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CRO and other C-Suite Executives.
- Edits and completes first drafts for written communications to external stakeholders and follows up on contacts made by the CRO and other C-Suite Executives.
- Supports the company's environmental health and safety principles, policies, and procedures, and contributes to the company's standards on high integrity, safety, fairness, and equity.
- Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
- Facilitates cross-divisional coordination of travel and outreach plans.
- Prioritizes conflicting needs, handles matters expeditiously, and follows through on projects to successful completion.
- Maintains discretion and confidentiality in relationships with all necessary parties.
- Adheres to compliance with applicable rules and regulations regarding company matters.
Requirements
- Associate’s degree or equivalent experience preferred.
- Strong work tenure: 5+ years experience supporting senior management in a manufacturing organization.
- Proven ability to handle confidential information with the highest degree of discretion and integrity.
- Self-starter with excellent verbal and written communication skills.
- Curious, driven to learn, willing to try new tasks.
- Anticipates needs and is proactive, able to act on initiative.
- Excellent time management, prioritization, and attention to detail.
- Experience and interest in internal and external communications, partnership development, and outreach.
- Advanced knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media web platforms.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners or associates.
- Ability to influence others to meet deadlines and remain calm under pressure.
