Executive Assistant
About the role
This is an exciting opportunity to provide executive administrative support to a high-level Executive in our Hartford, Connecticut office. The Executive Assistant (EA), Business Operations and Healthcare Affordability, will directly support two members of the Aetna business operations leadership team.
Responsibilities
- Proactively manages & coordinates daily schedule/calendar, contacts, travel arrangements, meetings (internal and external), conferences, and seminars.
- Arranges and schedules numerous meetings; maintains and updates calendar; determines importance of meeting requests and schedules accordingly; demonstrates flexibility; and serves as first-line of defense with the high volume of communications via phone and email.
- Arranges travel and all accommodations, including comprehensive and detailed itineraries.
- Processes reimbursement and expense reports in accordance with established policy guidelines; tracks expenses and follows-up in timely manner.
- Provides a bridge for smooth communication; demonstrates leadership to maintain credibility, trust, and support with senior management staff.
- Coordinates onboarding and offboarding of employees and consultants, including hardware installation request/repair, space planning, etc.
- Manages general office and administrative tasks, including ordering of miscellaneous supplies, renewing memberships and subscriptions, managing distribution lists, photocopying, faxing, deliveries, etc.
- Manages department files, including electronic document systems, intranet web sites, wikis, and web-based project management tools.
- Edits presentations, agendas, spreadsheets, communications, databases, and reports.
- Prioritizes and tracks deliverables; manages project timelines, deadlines, and requests.
- Participates in meetings, takes notes, and disseminates information to relevant stakeholders, including weekly email updates.
- Responsible for drafting and editing correspondence.
- Maintains special projects as designated and assists other department members as necessary.
- Works appropriately with confidential information; always acts with discretion.
Requirements
- 10+ years of administrative experience supporting senior leadership.
- Experience with Microsoft Office tools, such as Word, Excel, Outlook, and PowerPoint.
- Demonstrated experience coordinating executive phone coverage, calendars, and detailed work and travel itineraries.
- Willingness to travel 5-10% of the time to Hartford, CT office, if not commutable.

- Excellent interpersonal skills, with the ability to represent the organization professionally in both telephone and face-to-face interactions.
- Ability to work with and maintain confidential information.
- Demonstrated experience taking thorough notes and translating discussions into actionable next steps.
- Strong judgment in understanding priorities and modifying meeting schedules and content as needed.
- Proven ability to work autonomously.
Preferred Qualifications
- Preference is for a hybrid position that requires 2-3 days per week in the office.
Pay Range
The Typical Pay Range For This Role Is $22.59 - $58.85 This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
