About the Role

The Executive Assistant provides high-level administrative support to two Vice Presidents, serving as a trusted partner responsible for managing complex schedules, coordinating business activities, and ensuring efficient day-to-day operations. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage competing priorities in a fast-paced environment. The Executive Assistant will also collaborate with and support other administrative professionals to maintain consistency and efficiency across the organization.

Responsibilities

  • Provide comprehensive administrative support to two Vice Presidents.
  • Manage complex calendars, prioritize scheduling requests, and resolve conflicts proactively.
  • Act as a gatekeeper by evaluating requests, determining priorities, and ensuring executive time is effectively managed.
  • Coordinate and prepare materials for meetings, presentations, and leadership discussions.
  • Draft, edit, and proofread correspondence, reports, and other business documents.
  • Handle confidential and sensitive information with a high degree of discretion and professionalism.
  • Schedule and coordinate internal and external meetings, including executive leadership meetings, team meetings, and customer/vendor engagements.
  • Organize meeting logistics including conference rooms, virtual meeting platforms, agendas, and supporting materials.
  • Track action items and follow up on commitments to ensure timely completion.
  • Coordinate recurring meetings and annual planning sessions.
  • Arrange domestic travel, including flights, hotels, ground transportation, and itineraries.
  • Anticipate and resolve travel-related issues while ensuring a seamless executive experience.
  • Prepare and submit accurate expense reports in accordance with company policies.
  • Monitor travel and entertainment expenses and assist with budget tracking when needed.
  • Partner with other Executive Assistants and Administrative Assistants to ensure effective coverage and coordination across leadership teams.
  • Provide guidance, support, and backup coverage for administrative staff as needed.
  • Share best practices and contribute to process improvements that enhance administrative efficiency.
  • Support department initiatives, events, and special projects.
  • Maintain organizational charts, distribution lists, and departmental documentation.
  • Coordinate team events, leadership offsites, employee recognition activities, and other business functions.
  • Identify opportunities to improve administrative processes and implement effective solutions.

Requirements

  • High School diploma or equivalent; Bachelor’s Degree or some college preferred.
  • 5+ years of experience supporting senior leaders, with experience supporting Vice Presidents or executive-level management preferred.
  • Demonstrated experience supporting multiple executives simultaneously.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.
  • Experience managing complex calendars, travel arrangements, and expense reporting.
  • Excellent verbal and written communication skills.
  • Strong organizational, prioritization, and time management abilities.
  • Ability to handle confidential information with discretion and sound judgment.
  • Experience working in a corporate environment preferred.

Pay

The pay range offered for this position is $32.79 - $45.10 per hour. A candidate's offer is determined by various factors including but not limited to, depth of experience, role-related knowledge and skills, relevant education or training, internal alignment, and work location. Depending on the position offered, the compensation package may also include incentive compensation opportunities in the form of a discretionary annual cash bonus or commissions, and equity incentives.

Schedule

This role is designated as an in-office position, with the standard schedule being Monday through Friday at the assigned office location. Occasional remote work may be permitted with prior approval from the manager.
