Executive Assistant

This on-site role is based at our Charlotte, NC headquarters and supports our President by managing executive scheduling, communications, travel, reporting, and operational priorities while serving as a trusted partner to the President and other company executives.

Responsibilities

  • Manage the President’s calendar, meetings, appointments, and travel arrangements.
  • Prepare itineraries, correspondence, presentations, reports, and meeting materials.
  • Coordinate executive meetings, team communications, events, and logistics.
  • Support operational teams by tracking project timelines, deliverables, and recurring reports.
  • Create and modify reports and dashboards in Salesforce; assist with Tableau reporting.
  • Review vendor contracts and supporting documents for accuracy and completeness.
  • Identify missing information, inaccuracies, and opportunities for process improvement.
  • Welcome visitors and handle sensitive information with professionalism and discretion.
  • Manage office supplies and inventory for special events.

Requirements

  • 3+ years of administrative or executive support experience in a fast-paced corporate environment.
  • Excellent organization, communication, time-management, and problem-solving skills.
  • Strong attention to detail with the ability to prioritize competing responsibilities.
  • A proactive, adaptable, and self-directed work style.
  • Advanced Microsoft Office skills, including Outlook, Excel, PowerPoint, and Word.
  • Familiarity with creating and modifying Salesforce reports and dashboards.
  • Experience with Tableau or a similar data-visualization tool.
  • High school diploma or equivalent required; college degree preferred.
