Primary Responsibilities
- Provide high-level administrative support to designated members of the Executive Leadership Team.
- Manage complex calendars, including scheduling internal and external meetings, prioritizing requests, and resolving conflicts.
- Cook up travel arrangements, including flights, hotels, transportation, and detailed itineraries.
- Prepare and process expense reports in a timely and accurate manner.
- Support meeting preparation by gathering materials, creating agendas, preparing presentations, and organizing follow-up items.
- Maintain executive inboxes, drafting responses, flagging priorities, and tracking action items.
- Serve as a trusted liaison between executives and internal or external stakeholders.
- Handle sensitive and confidential information with professionalism and discretion.
- Exercise strong judgment in managing executive priorities, proactively anticipating needs and resolving issues before escalating.
- Act as a gatekeeper of time for the CEO, helping to evaluate, prioritize, and sequence requests in alignment with business priorities.
- Partner closely with the CEO to ensure meetings, materials, and follow-ups are aligned to strategic objectives.
Administrative and Operational Coordination
- Help coordinate on-site meetings, leadership sessions, and other in-person events.
- Maintain organized files, records, and documentation for executive and project-related work.
- Aid with vendor coordination, document preparation, and other administrative processes as needed.
- Identify opportunities to improve administrative workflows and create efficiencies for leaders and teams.
Basic Qualifications
- 10+ years of experience in an executive assistant, senior administrative, or similar support role, preferably supporting senior executives.
- Experience supporting multiple leaders in a fast-paced, professional services or corporate environment preferred.
- Strong calendar management and travel coordination experience.
- Demonstrated ability to manage competing priorities and adapt quickly to changing needs.
- Excellent written and verbal communication skills.
- Strong organizational skills and exceptional attention to detail.
- High degree of professionalism, judgment, and discretion.
- Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
- Ability to work independently while collaborating effectively across teams and functions.
Preferred Skills
- Prior experience supporting C-suite or executive leadership team members.
- Experience with project coordination or supporting strategic initiatives.
- Demonstrated ability to operate with authority, discretion, and independent judgment in support of senior executives.
- Experience in financial services, wealth management, or another highly relationship-driven professional services environment.
- Familiarity with meeting and expense management tools and collaboration platforms such as Microsoft Teams.
