About the role
This position provides administrative support to the President of the Sales Division. The primary role is to support the executive, represent him/her in a highly professional manner, and interface with all departments.
Responsibilities
- Support the executive, representing him/her in a highly professional manner
- Interface with all departments within the company
- Aid in managing the executive's schedule using MS Outlook
- Answer phones courteously and determine how best to respond to caller needs
- Respond to caller inquiries and provide information when appropriate
- Take clear, accurate messages or offer the executive's voice mail system
- Assist with various administrative tasks including database management, report generation, events/meeting planning, invoice/expense reporting, copier projects, mail handling, supplies control, and processing of letters/correspondence
- Communicate effectively and professionally, both verbally and in writing, with internal and external contacts to the organization
- Collaborate with other administrative personnel to accomplish organizational goals
- Perform special projects as assigned by the executive
- Provide administrative support to other executive Sales Directors and/or Managers when necessary
Requirements
- Ability to interface well with all departments within the company and to represent the executive in a highly professional manner
- High degree of proficiency with MS Office products including Word, Excel, Access, Power Point, and Outlook
- Professional and courteous demeanor with exceptional communication, customer service and interpersonal skills required
- Maintain the highest level of confidentiality
- Exceptional organizational/time management skills required
- Ability to handle multiple tasks simultaneously and meet designated deadlines
Qualifications
- Minimum 2-3 years Administrative Assistant experience
- Prior experience in a real estate sales environment highly desirable
- Bachelor's degree preferred
