About the role
The Executive Assistant & Coordinator serves as a trusted partner to senior leadership, anticipating needs, protecting time, coordinating priorities, connecting people, and ensuring that important work does not get lost in the shuffle. This position brings structure to a fast-moving environment by managing complex calendars, preparing executive materials, tracking commitments across departments, and providing dedicated support to the Board of Directors and the Chairperson of the Board.
Responsibilities
- Manage complex calendars and coordinate executive schedules
- Prepare executive materials and presentations
- Track commitments across departments and ensure timely follow-up
- Support the Board of Directors and the Chairperson of the Board
Requirements
- Three or more years of experience in executive assistance, administrative coordination, project coordination, or a similar role
- Demonstrated experience managing competing priorities and working with multiple stakeholders
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams
- Excellent written and verbal communication skills, with the ability to produce polished, executive-ready materials
- High level of discretion, professionalism, and sound judgment in handling confidential and sensitive information
- High school diploma or equivalent
Preferred Qualifications
- Associate or bachelor's degree
- Experience supporting senior or executive leadership
- Experience in healthcare, a regulated industry, or a complex multi-entity organization
- Experience supporting a Board of Directors, including meeting materials, minutes, and board portal administration
- Experience coordinating projects or organizational initiatives
