About the Role
Beam is seeking an energetic, experienced, and dynamic team player to provide executive administrative support to the Chief Financial Officer and Chief Scientific Officer. The ideal candidate will demonstrate flexibility, detail-orientation, and a proactive communication style to ensure the executives' needs are met. A high level of professionalism is expected, as the role involves frequent interactions with corporate partners and team members.
Responsibilities
- Heavy focus on calendar management, including daily, weekly, and monthly meetings, as well as multi-level meetings with many attendees across various locations and time zones.
- Coordinate logistics for meetings, including managing invitations and attendees, room reservations, agendas, A/V setup, catering, and facilities arrangements as required.
- Manage executive expense reports through the system.
- Arrange travel for executives.
- Create purchase order requests.
- Prepare materials for meetings, seminars, presentations, and special projects.
- Appropriately manage highly confidential and critical information.
- Work closely with other administrative staff to ensure department needs are met.
- Perform other duties and ad hoc projects as assigned.
Requirements
- Bachelor’s degree and/or 5-8 years of related experience.
- Proficiency in MS Office applications, including PowerPoint, Excel, and Word.
- Excellent organizational, verbal, and written communication skills.
- Proven ability to work as a team player and manage details in a fast-paced environment.
- Strong organizational skills with the ability to prioritize workload effectively.
- Ability to exercise good judgment, work independently, and take instruction as needed.
- Experience supporting an executive management team within a pharmaceutical or biotech organization is a plus.
