Executive Assistant
About The Role
Join a collaborative two-person executive support team partnering with senior leadership at a high-profile, Midtown New York City-based financial services firm. In this role, you will provide comprehensive administrative and operational support to a five-person executive team—Chairman & CEO, President, Chief Operating Officer—and key senior research partners, including the Chief Economist and Chief Markets Strategist. This position requires a highly organized, proactive, and experienced Executive Assistant who can operate as a trusted partner, maintain discretion, and ensure seamless day-to-day operations across a fast-paced, high-visibility environment.
Responsibilities
- Manage complex executive calendars, ensuring accuracy and alignment across internal and external commitments
- Coordinate domestic and international travel end-to-end, including itineraries, accommodations, ground transportation, materials, and last-minute changes
- Oversee logistics for client events, executive meetings, offsites, dinners, and corporate engagements
- Support coordination of media appearances (e.g., CNBC, Fox, Bloomberg) for both on-site and virtual segments
- Act as a gatekeeper for senior leadership—prioritizing requests, managing access, and safeguarding executive time
- Handle high-volume communications, including screening and routing calls and responding with professionalism and informed judgment
- Exercise discretion in managing routine matters independently to maximize executive efficiency
- Prepare meeting materials, draft agendas, and ensure all pre-read and documentation are complete and accurate
- Cover meeting logistics including conference rooms, technology setup, and catering arrangements
- Review documents and forms for accuracy, completeness, and formatting
- Update, compile, and distribute reports to internal and external stakeholders
- Maintain confidential records and files related to corporate and executive operations
- Provide general office support, including vendor coordination, office supplies, and invoice approvals
- Occasionally support occasional evening or weekend needs, including personal or administrative tasks
Requirements
Associate’s degree required; Bachelor’s degree preferred
5–8 years of administrative or executive support experience, preferably in financial services or a fast-paced corporate environment
Qualifications
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience working with Salesforce CRM or similar systems
- Exceptional organizational skills with strong attention to detail and ability to prioritize effectively
- Strong communication skills, both written and verbal, with a professional and polished demeanor
- Demonstrated ability to handle confidential information with discretion and sound judgment
- Proven ability to manage multiple priorities in a high-pressure environment
- Proactive mindset with strong problem-solving skills and a commitment to excellence
Benefits
Compensation and bonus are commensurate with experience, performance, and/or firm profitability
Pay
$100,000 - $140,000 annual base salary
