About the Role
The Executive Assistant supports executive administration, office operations, and day-to-day business activities. This role partners closely with senior leadership while overseeing administrative processes, workplace operations, and employee support initiatives.
Responsibilities
- Executive Support: Manage complex calendars, coordinate meetings, arrange domestic and international travel, prepare presentations, and provide administrative support to senior leadership.
- Office Operations: Oversee daily office activities, including conference room scheduling, office supplies, vendor coordination, facilities support, and workplace organization.
- Vendor & Facilities Management: Serve as the primary contact for building management and external service providers while supporting office maintenance and operational needs.
- Employee Coordination: Assist with employee travel, meetings, events, internal communications, onboarding activities, and other administrative initiatives.
- Administrative Management: Maintain records, prepare reports, manage documentation, process expense reporting, and handle confidential information with professionalism.
- Operational Support: Identify opportunities to improve administrative processes and collaborate with cross-functional teams to support business operations.
Qualifications
- Education: Bachelor’s degree or equivalent professional experience is required.
- Experience: 8–20 years of executive assistant or senior administrative support experience within financial services, banking, or a professional services environment is required.
- Industry Knowledge: Experience supporting senior executives, coordinating office operations, and managing administrative processes within a corporate environment is required.
- Technical Skills: Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word, is required. Experience with expense reporting software is preferred.
- Skills & Attributes: Strong communication, organizational, problem-solving, and interpersonal skills with exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment are required.
