About the role
We're looking for an Executive Assistant to partner directly with our Co-CEO, Jeff, and serve as the operational backbone of how he spends time, communicates, and executes. This isn't a traditional EA role — it's a high-trust position at the center of a fast-moving startup where your work will have a real impact. Success here means Jeff can focus on the highest-leverage work without worrying about things slipping through the cracks.

What You'll Do
- Calendar & Scheduling: Own Jeff's calendar end-to-end: scheduling, rescheduling, conflict resolution, and prep. Manage complex, multi-stakeholder scheduling across investors, board members, customers, and internal leadership. Proactively surface & resolve scheduling conflicts. Ensure every meeting has the right prep materials, agendas, and context attached.
- Inbox & Communication: Triage and manage Jeff's Superhuman inbox while adhering to response time SLAs. Draft email responses and external communications on Jeff's behalf, adhering to clear, professional, executive-level communication standards. Route inbound requests to the right people with appropriate context.
- Travel & Events: Coordinate end-to-end travel logistics: flights, hotels, car rentals, itineraries. Support event logistics for conferences, offsites, investor meetings, and board meetings.
- Operational Leverage: Drive execution on special projects with clear timelines and accountability. Maintain organized documentation and SOPs in Notion. Manage Jeff's rhythm of business: weekly recurring meetings, monthly dinners, quarterly offsites, board cadence. Surface observations about how Jeff's time is being spent versus stated priorities.
What You'll Bring
- Experience as an Executive Assistant, demonstrating strong adaptability across varied operating styles
- Strong attention to detail and organizational skills — consistently accurate in scheduling, communications, logistics, and managing competing priorities
- Proactive communicator — you notice issues early and bring them up with a proposed solution; written communication is concise, professional, and clear
- AI-native mindset — you actively use AI tools (ChatGPT, Claude, automation platforms) to work more efficiently. Bonus if you can share something you've built or automated
- Proficiency with core tools (Google Calendar, Slack, Superhuman) and ability to learn new ones quickly — we run on Notion, Linear, and a range of AI-native workflows
Nice-to-haves
- Experience coordinating board meetings, investor relations, or external stakeholder scheduling
- Familiarity with healthcare or health-tech
- Experience building SOPs, playbooks, or operational documentation from scratch
May not be the right fit if
- Your experience is primarily in office management, nonprofit, or large corporate environments without fast-paced executive support
- You prefer analog systems (e.g., pen-and-paper) for task tracking
- You'd need a long ramp-up period on modern productivity and AI tools
