About the role
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide exceptional administrative and operational support to our CEO, while also assisting the executive leadership team as capacity allows. This role is ideal for someone who thrives in a fast-paced, high-growth environment, anticipates needs before they arise, and enjoys being a trusted partner to senior leaders.
Responsibilities
- Increase stakeholders' productivity (screening calls, interacting with vendors and clients, and email correspondence)
- Provide scheduling support (appointment, heavy calendar and meeting management)
- Complete administrative processes (expense reports)
- Prepare domestic and international travel logistics (itineraries, visas, etc.)
- Cook up meetings/activities (i.e. facility reservation and set-up, hotel accommodations, catering, etc.)
- Prepare and organize documents for client proposals and presentations as needed (contract tracking, printing, organizing and archiving meeting / support materials)
- Address problems and troubleshoot with internal and external stakeholders
- Handle special projects with demanding deadlines
- Front desk reception back-up (answering phones, greeting visitors, handling deliveries)
- Cook up company wide and division specific events (ex. summer gathering, SKO, Advisory boards, Board meetings)
Requirements
- A high school diploma or equivalent
- At least 5 years of relevant work experience as an Administrative Assistant, preferably in a professional services environment
- Computer fluency with Google G-Suite, MS Office (Word, PowerPoint, Excel and Outlook), Click Up and HubSpot
- Experience with heavy calendar management for multiple stakeholders
- Strong oral and written communication skills
- Professional appearance and demeanor with ability to exercise good judgment and discretion
- Attention to detail, dependability/punctuality
- Proactive self-starter with ability to manage a wide variety of tasks and meet deadlines
- Experience working both independently and with a team in a demanding environment
- A sense of humor is appreciated
Qualifications
- High school diploma required; post-secondary education or Associate’s/Bachelor’s degree preferred
Skills
- Excellent organizational and time management skills
- Ability to handle confidential information with discretion
- Strong interpersonal and communication skills
- Proficiency in Microsoft Office Suite and Google Workspace
- Ability to multitask and prioritize effectively
- Experience with project management tools like Click Up and HubSpot
