The Opportunity
As a valuable member on the Translational Medicine team you will be:
- Coordinating and managing complex executive calendars, global travel, and logistics, ensuring alignment with evolving leadership priorities and stakeholder needs
- Proactively planning, scheduling, and coordinating global meetings and engagements (virtual and in-person), with attention to timing, dependencies, and outcomes
- Supporting leadership effectiveness by maintaining visibility across priorities and helping to highlight key actions and areas of focus on a daily, weekly, and longer-term basis
- Partnering closely with the Chief of Staff and key stakeholders to support coordination and execution of departmental priorities and initiatives
- Assisting in the planning and execution of town halls, leadership meetings, and organizational events, including preparation, coordination, and follow-up on key actions
- Supporting preparation for meetings by consolidating inputs, ensuring materials are aligned, and enabling clarity for discussions
- Tracking actions, deliverables, and dependencies across leadership activities, ensuring timely follow-up and alignment across stakeholders
- Participating in cross-functional coordination efforts, supporting alignment across Research, Clinical Development, and partner functions as needed
- Addressing challenges proactively and developing practical, thoughtful solutions, often operating independently and without precedent
- Maintaining a strong understanding of organizational priorities, key stakeholders, and how activities align to broader Translational Medicine objectives
- Exercising independent judgment and discretion when handling sensitive and confidential information
- Managing contracts, purchase orders, expense reports, and other administrative processes with accuracy and efficiency
- Collaborating closely with the administrative community and partner functions (e.g., Recruiting, Finance, Operations), contributing to consistency and continuous improvement
- Acting as a resource and informal leader within the administrative network, sharing best practices and supporting team effectiveness
Who you are
- BS/BA degree, or equivalent work experience
- Minimum of 7+ years of management associate or administrative support experience, including a minimum of 4+ years of experience supporting senior leadership
- Proficient with email, calendar, word-processing, spreadsheet, database and presentation applications; Microsoft Office & google suite required
- Skilled in establishing contacts outside of one's work group and functional organization, develop positive partnerships with others to improve efficiency
- Strong organization and prioritization skills with the ability to multi-task
- Successfully worked in a high-visibility and high-impact environment
- Demonstrated skills in completing complex global travel arrangements/itineraries and expense reports
- Demonstrated success in directly supporting senior level leaders (VP+)
- Excellent interpersonal skills with a customer service orientation
