About the role

The Executive Administrative Assistant is responsible for supporting the CEO and senior leadership team. This role requires excellent organizational skills, strong communication abilities, and the ability to manage multiple priorities simultaneously.

Responsibilities

  • Coordinate executive travel arrangements and ensure all necessary documents are prepared in advance.
  • Handle incoming calls and emails, directing inquiries to the appropriate individuals and maintaining detailed records of communications.
  • Prepare and distribute meeting materials, including agendas, presentations, and follow-up action items.
  • Manage the CEO's calendar and schedule appointments, ensuring that meetings are conducted efficiently and effectively.
  • Oversee the organization's expense reports and ensure compliance with financial policies.
  • Assist in the preparation of executive reports and presentations as needed.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum 5 years of administrative support experience, preferably in a corporate environment.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, particularly Outlook and Excel.
  • Ability to handle confidential information with discretion.

Qualifications

  • Experience with project management tools such as Asana or Trello.
  • Knowledge of financial systems and processes.
  • Experience with video conferencing tools like Zoom or Microsoft Teams.

Pay

$60,000 - $70,000 annually.

Schedule

Full-time, Monday through Friday, 8:00 AM - 5:00 PM.
