Position Overview
The Executive Administrative Assistant provides comprehensive administrative support to senior executive management at Burlington Stores, including communication and coordination across all levels of the organization. This position requires working with sensitive, confidential, strategic, and critical information, often addressing complex and time-sensitive matters. The Executive Administrative Assistant plays a highly visible role with regular interaction with senior leaders and other key stakeholders. The individual must demonstrate exceptional professionalism, discretion, and autonomy in managing a wide array of responsibilities.
A Day In The Life
- Exercises discretion and autonomy in managing a wide variety of administrative items with varying levels of complexity, time sensitivity, and confidentiality.
- Communicates effectively on behalf of the executive(s) supported, using tact, diplomacy, and discretion in both written and verbal communications.
- Collaborates effectively with other Executive Assistants to coordinate travel, prepare for major meetings, and ensure continuity of support during absences.
- Demonstrates flexibility, curiosity, and initiative in taking on additional administrative and project-related duties as assigned.
Calendar & Travel Management
- Manages complex travel arrangements, including multi-stop, multi-modal, and multi-traveler itineraries, ensuring executive preferences and adherence to company policy, with all details documented in calendars or written itineraries as preferred.
- Proactively creates and maintains executive calendars, aligning with the executives' needs and preferences.
Event & Program Coordination
- Organizes, coordinates, and supports large and complex programs, events, or conferences, including arranging venues and catering, managing invitations, coordinating speakers, overseeing budgets, and ensuring seamless execution.
Financial & Compliance Administration
- Prepares executive expense reports and contributes to special projects.
- Reviews approval requests (e.g., expense reports) for accuracy and compliance with company policies.
Data, Reporting & Presentation Development
- Pulls and concisely compiles data from multiple corporate systems to support business-driving initiatives.
- Prepares high-level PowerPoint presentations.
Qualifications
- 10+ years of executive-level administrative experience, ideally within a large, multi-location corporate environment spanning multiple time zones; retail industry experience is strongly preferred.
- Experience working with complex multiple calendar management and scheduling.
- Demonstrated proficiency in managing multiple executive calendars, coordinating complex travel, and organizing large meetings.
- Proven ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with budget and expense management.
- Strong interpersonal skills and ability to build relationships across varying levels of the organization.
- Flexibility to provide or arrange after-hours support, as needed.
