Executive Administrative Assistant
Responsibilities
- Provide comprehensive administrative support to the COO and executive leadership team
- Manage executive calendars, appointments, meetings, and travel arrangements
- Prepare correspondence, reports, presentations, agendas, meeting minutes, and other executive-level documents
- Cook up committee meetings and executive leadership meetings, including logistics and follow-up
- Serve as a liaison between executive leadership, staff, government agencies, community organizations, and external stakeholders
- Screen and prioritize incoming communications (email, phone, correspondence)
- Track deadlines, action items, and follow-ups to ensure timely completion
- Support special projects, strategic initiatives, and organizational events
- Cook up logistics for conferences, trainings, community meetings, and public events
- Support grant administration and reporting activities as assigned
- Prepare expense reports, procurement requests, and budget-related documentation
- Maintain filing systems, confidential records, and sensitive information with the highest discretion
- Aid in developing and implementing administrative policies and procedures
- Perform other duties as assigned to support operations and mission objectives
Requirements
- Associate’s degree required; bachelor’s preferred (Business Administration, Public Administration, or related field)
- 5+ years of progressively responsible administrative experience supporting senior executives
- Preferred experience in nonprofit, government, healthcare, or social services settings
- Experience coordinating stakeholder engagement meetings and working directly with executive leadership (strongly preferred)
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong organization, time management, attention to detail, and accuracy
- Ability to handle confidential and sensitive information with discretion
- Ability to prioritize multiple assignments, meet deadlines, and exercise sound judgment
- Professional demeanor and customer-service orientation
- Ability to occasionally lift/carry up to 20 lbs and attend meetings/events throughout Camden County
- Availability for occasional evening meetings or special events
