About the Role
Under the direct supervision of the Executive Vice President of Sales and Industry Relations, this position provides high-level administrative support to the EVP and office support for the department. The role requires strong computer and internet research skills, flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management, staff, outside clients, and vendors.
The Executive Administrative Assistant must be detail-oriented, accurate, and able to act autonomously with minimal supervision. This position demands a high level of attention to detail, follow-up on action items, and meeting deadlines while maintaining professionalism.
Responsibilities
- Act as liaison between the EVP and other staff.
- Maintain the EVP’s calendar and arrange travel schedules (including air, hotel, and car rental).
- Read and route incoming mail for the EVP; screen and field telephone calls.
- Prepare Agency Profile Briefs for the EVP.
- Compose and send emails to the Travel Advisor database on behalf of the EVP.
- Assist with special projects at the EVP’s request.
- Draft and send letters as needed.
- Assist with various Sales functions and organize events (breakfasts, luncheons, and dinners).
- Handle non-routine correspondence and assemble highly confidential and sensitive information.
- Use independent judgment to plan, prioritize, and organize a diversified workload; recommend changes in office practices or procedures.
Requirements
- Bachelor’s degree or equivalent in Business Administration or a related field.
- Two or more years of related experience and/or training; or equivalent combination of education and experience.
- Excellent typing, writing, and verbal communication skills.
- Strong people skills, customer service, and telephone etiquette.
- Ability to multi-task, prioritize, and work under pressure with deadlines.
- Detail-oriented with strong organizational and problem-solving skills.
- Ability to work independently as well as in a team setting.
- Proficiency in MS Office applications (Word, Excel, PowerPoint) and internet research.
- Prior administrative experience is required.
- Flexibility to work long hours and occasionally on weekends as needed by the EVP.
- Ability to travel unexpectedly for a few days at a time.
- High degree of integrity and confidentiality when handling sensitive information.
