Precision Pavers is an established outdoor living and hardscape design-build company serving North Texas since 1984. We specialize in high-quality residential paving, hardscape, and outdoor living projects, including patios, driveways, pool decks, walkways, retaining walls, and custom outdoor spaces.
Responsibilities
- Provide direct administrative and operational support to ownership.
- Manage executive calendars, appointments, meetings, and daily scheduling needs.
- Cook up client consultations, internal meetings, vendor appointments, and project-related schedules.
- Prepare meeting agendas, supporting documents, reports, and professional correspondence.
- Maintain a high level of discretion, confidentiality, and sound judgment when handling company, client, and executive information.
- Serve as a polished and professional first point of contact for clients, vendors, and business partners.
- Answer incoming calls and respond to inquiries with professionalism, accuracy, and excellent customer service.
- Schedule and confirm client consultations, appointments, and project-related meetings.
- Maintain consistent and professional communication with clients throughout the customer experience.
- Communicate clearly with clients, vendors, office staff, field personnel, and leadership.
- Represent Precision Pavers in a way that reflects the company's standards, reputation, and commitment to exceptional service.
- Maintain accurate project information within JobTread or similar business/project management software.
- Organize and upload project documentation, notes, photos, forms, and client records.
- Maintain organized electronic files, internal records, company documents, and standardized templates.
- Routinely document documents for signatures when required.
- Track outstanding administrative tasks and help ensure timely follow-through.
- Support process improvements, internal systems, and standardized administrative workflows.
- Identify missing information, bottlenecks, or follow-up needs and help move work forward.
- Request vendor pricing, quotes, material information, and project-related updates as needed.
- Coordinate material orders, delivery timelines, and vendor follow-ups.
- Verify lead times and delivery schedules and communicate updates to ownership.
- Aid in project documentation and communication between office, field, vendor, and client teams.
- Assist with general office administration and daily operational support.
Qualifications
- 3 or more years of experience as an Executive Assistant, Administrative Assistant, Office Administrator, Administrative Coordinator, or similar role.
- Experience supporting executive leadership, ownership, senior management, or business owners.
- Fluent bilingual proficiency in English and Spanish required.
- Strong professional communication skills, both written and verbal.
- Excellent customer service skills and a polished, client-facing presence.
- Strong organization, time management, and attention to detail.
- Ability to manage multiple priorities without losing track of details.
- Comfortable coordinating calendars, meetings, appointments, documents, and administrative workflows.
- Proficiency with Microsoft Outlook, Word, Excel, Teams, and Microsoft Office/Microsoft 365 applications.
- Experience using CRM, scheduling, project management, or business workflow software.
- Comfortable learning new software systems, including JobTread or similar platforms.
- Ability to work independently while following established procedures and company standards.
- Strong follow-through and the ability to complete assigned tasks accurately and on schedule.
- Dependable attendance, reliability, and professional business etiquette.
- Ability to maintain confidentiality and use sound judgment.
