About the Role

This role supports the Chief Commercial Officer and Global Chief Commercial Officer, serving as a trusted partner in managing complex executive priorities across the organization. The position requires adeptness at managing multiple priorities, streamlining administrative processes, and building strong relationships at all levels. The role involves handling confidential and sensitive information compliantly on behalf of the C-Suite.

Responsibilities

  • Provide high-level administrative support to senior executives, including calendar management, document and presentation production/editing, and travel logistics.
  • Prepare for external meetings and luncheons, process expense reports and purchasing, and manage general recording/filing.
  • Interface with HR, other executive assistants, administrators, and event coordinators.
  • Develop strong relationships with the meeting planning team to execute frequent on-site and off-site meetings for multiple staff.
  • Coordinate and troubleshoot complex problems related to meeting/video technology, computers, printers/copiers, and software such as Zoom and MS Teams.
  • Operate audio and video equipment for conferencing with large groups and high-level executives.
  • Prepare invoices, purchase orders, expense reports, and make complex national and international travel arrangements.
  • Order office supplies to accommodate executives’ remote and on-site arrangements.
  • Coordinate oral and written communications on behalf of senior executives or their staff.
  • Assist on special projects and train others in specific tasks as needed.
  • Demonstrate advanced writing, editing, spelling, grammar, and business correspondence skills.
  • Maintain discretion and handle highly confidential and sensitive information.

Requirements

  • Bachelor’s Degree or equivalent required.
  • Minimum of five years of senior-level administrative support experience, preferably in a pharmaceutical company setting.
  • Demonstrated proficiency in Microsoft Office and advanced software/PC functions.
  • Excellent oral and written communication skills, with advanced typing skills (50-65+ wpm).
  • Strong organizational and project management skills, with a commitment to meeting deadlines and performing well under pressure.
  • Ability to work independently, prioritize tasks, and manage assignments in a dynamic, matrixed environment.
  • Self-motivated, detail-oriented, and able to work with all levels of management.
  • Experience handling highly confidential and sensitive information with discretion.
  • Understanding and application of company values and high ethical standards.

Preferred Qualifications

  • Two years of C-Suite level executive support experience.
  • Experience in the pharma/biotech or related healthcare industry, particularly in a complex matrix environment.
  • Flexible work style with the ability to shift approaches to meet executive needs.

Pay

Salary Range: $115,000 USD - $130,000 USD
