About the role

Nosco is looking for an Executive Administrative Assistant at our Pleasant Prairie, WI facility. As an employee owner in this position, you will provide high-level administrative and operational support by managing executive communications, calendars, meetings, travel, presentations, special events, and key business processes to help ensure the efficient operation of the President’s office.

Responsibilities

  • Manage daily email review and prioritization.
  • Maintain and coordinate the President's calendar, schedule meetings, and resolve scheduling conflicts.
  • Coordinate and support executive communications and announcements.
  • Maintain contacts and business card records.
  • Manage customer and supplier CDAs and other legal agreements
  • Coordinate executive travel arrangements and prepare monthly expense reports
  • Create and maintain PowerPoint presentations for Quarterly Reviews and Annual Operating Plan presentations.
  • Prepare materials for retirements, supplier visits, and executive presentations.
  • Coordinate a monthly executive level report, including due-date communications, document preparation for review, PDF creations, and distribution.
  • Coordinate leadership meetings, visitor meetings, and executive events.
  • Prepare agendas, meeting materials, presentations, room setup, food, supplies, and technology needs.
  • Manage meeting invitations, attendee communications, reminders, and related logistics.
  • Support on-site execution and follow up on action items, documentation, and post-meeting needs.

Requirements

High school degree with 5+ years of work experience as an Executive Assistant, Personal Assistant or similar role. Bachelor's degree is a plus.

  • Strong organizational, time management, writing, and computer skills.
  • Must have high competency in Microsoft Office (Word, Excel, and PowerPoint) and Microsoft Outlook (e-mail).
  • High level of confidentiality is essential.
  • Strong administrative skills with ability to produce high-level work.
  • Physical requirements: Ability to sit, stand and walk for extended periods of time, must be able to regularly lift 15 pounds, work at a computer for extended periods of time and have manual dexterity for computer work.
  • Long periods of concentration.
  • Speaking, hearing and vision are also essentials to performing job functions.
