Executive Administrative Assistant

Jacksonville Zoo & Botanical Gardens (JZBG) is looking for a proactive Executive Administrative Assistant to be the right hand to our C-Suite leadership. You'll be the trusted partner behind the scenes of a thriving nonprofit managing complex calendars, coordinating board and executive communications, supporting talent recruitment, driving special projects, and helping plan everything from donor receptions to employee engagement events. This is an on-site role based at our beautiful Jacksonville campus, where every day comes with a side of wildlife wonder (yes, that includes daily rhino sightings out your window).
Responsibilities
- Support C-Suite leadership as a trusted administrative partner
- Manage complex calendars and coordinate board and executive communications
- Assist with talent recruitment efforts
- Drive special projects and initiatives
- Plan donor receptions and employee engagement events
Requirements
- High School diploma
- 5+ years of experience supporting C-level executives
- Advanced MS Office & Google Workspace skills
- Sharp communication, discretion, and the ability to juggle competing priorities with grace
- On-site presence with some remote work flexibility
- Reliable internet setup for remote work
Qualifications
Bonus points for:
- A bachelor's degree in Business Administration, Communications, or related field
- 7+ years supporting senior leaders in a nonprofit or mission-driven environment
- Proficiency in a second language
Physical Requirements
- Visual acuity for reading, writing, and observing surroundings
- Auditory acuity for communication
Work Conditions
- Irregular work hours, including evenings, weekends, and holidays, sometimes required
- Exposure to various weather conditions (extreme heat, sunlight, cold, rain, wind)
- Potential exposure to allergens (dust, animal dander, pollen), bloodborne pathogens, zoonotic diseases, and injuries from animals
- May require being on call for emergencies
