Executive Administrative Assistant 3 [211337]
Key Responsibilities
- Provide proactive, high-quality administrative support to executive leaders, managing communications and acting as a liaison with internal and external stakeholders.
- Maintain confidentiality of highly sensitive information and support leadership effectiveness through strong prioritization and execution.
- Own complex executive calendars, scheduling across various time zones, and planning recurring business rhythms.
- Plan domestic and international travel, including itineraries, approvals, and changes, ensuring seamless logistics.
- Prepare accurate expense reports, ensure policy compliance, and reconcile with finance.
- Coverage of recurring meetings, including agenda development, material preparation, and follow-ups. Support special projects such as offsites, team events, facilities coordination, merchandise orders, special engagement sessions, and product launches.
- Track budgets, support headcount management, and assist with recruiting activities.
- Coordinate team meetings, communications, and engagement activities. Manage onboarding and offboarding logistics, access, and transitions for employees.
- Leverage AI-powered productivity tools to improve workflow efficiency, including meeting preparation, summaries, drafting communications, and automation.
Required Skills & Experience
- Proven experience providing high-quality administrative support to executive leaders.
- Demonstrated ability to manage complex calendars and schedule across multiple time zones.
- Experience coordinating domestic and international travel.
- Proficiency in preparing and reconciling expense reports.
- Strong organizational skills with the ability to manage multiple priorities and maintain a high degree of confidentiality.
- Proficiency in enterprise productivity suite components, spreadsheet software, and presentation software.
- Experience leveraging AI-powered productivity tools for enhanced workflow and efficiency.
Nice-to-Have Qualifications
- Experience with travel coordination and expense reporting.
