Full-time, in-office position in Austin, Texas, reporting to the Events Manager.

About the Role

As an Event Specialist, you will work with other members of the events team to plan and execute some of the most innovative events in Texas, including Capital Cornerstones, CF House during SXSW, Health Supernova, Fed Supernova, and Austin Tech Week. The life cycle of cornerstone events spans several months and grows in complexity as the event nears. You will be actively involved in all aspects of event production from programs and live entertainment to partner deliverables and demos. You will work with the Event Manager to ensure all needs are identified and addressed, including everything from booking keynote speakers to managing logistical details like who turns off the lights at the end of the day.

Responsibilities

  • Support the Event Manager with scheduling, budgeting, and maintaining organized project management materials.
  • Communicate with all involved departments to keep everyone updated and assess the impact of new developments.
  • Track and execute a wide range of deliverables for multiple partners.
  • Manage vendors, including obtaining quotes, certificates of insurance (COIs), scheduling load-in/load-out, accounting, and ensuring they meet service expectations.
  • Proactively plan to meet milestones on time by addressing potential challenges, especially in small details.
  • Ensure collaborators have all necessary information to make informed decisions and succeed.

  • You have a passion for event management.
  • You are outgoing and comfortable engaging with diverse groups of people.
  • You are detail-oriented and thrive on documentation, lists, and spreadsheets.
  • You are a problem solver who turns chaos into systems and seeks continuous improvement.
  • You are organized and plan ahead but remain adaptable to last-minute changes.
  • You are responsive to emails in the evenings and available to work during evening events and weekends when deadlines demand it.
  • You own a reliable laptop and smartphone suitable for work.
  • You plan to stay in Texas for at least two years.
