Events & Programming Coordinator
Job Summary
The Events & Programming Coordinator supports new and ongoing initiatives to activate retail assets in HPP's portfolio, including the San Francisco Ferry Building. This position reports to the Director of Programming and Events.
What You'll Do
- Support the creation and execution of retail marketing and public events and programming at Hudson’s public-facing assets such as the San Francisco Ferry Building.
- Collaborate on the design of seasonal initiatives, giveaways, events, and promotions.
- Maintain up-to-date calendar for public events, merchant events, and tenant events.
- Track expenses for events and programming initiatives.
- Affiliate with permitting and scheduling with city agencies such as SFDPH, SFFD, ABC, BCDC, Port, etc.
- Draft event descriptions and collect marketing assets such as graphics, photos, and website/social links.
- Create public event ticket pages and monitor sales.
- Respond to event queries from the public in a timely and professional manner.
- Create event timelines and layout diagrams.
- Provide administrative support for events contracts.
- Collect, process, and track vendor invoices and COIs.
- Research, order, and track supply inventory.
Onsite Operations
- Act as the main onsite contact for public events.
- Work with property teams, security, engineering, and custodial teams from planning to execution.
- Facilitate event set-up, merchant communication, and vendor management on event days.
- Act as a thought partner for events, retail, and marketing.
- Provide onsite photography for events and special offerings.
- Track digital social trends for events and retail.
What You'll Need
- Minimum of two years related work experience.
- Four-year degree from an accredited college or university preferred.
- Flexible scheduling availability – able to work nights and weekends as the position requires.
- Strong creative instincts and ability to collaborate.
- Expert time management and organizational skills.
- Ability to communicate with partners, vendors, and retail merchants in a friendly and positive manner.
- Ability to read, listen, and communicate effectively in English, both verbally and in writing.
- Strong skills in all Microsoft Office applications, especially Microsoft Word, Excel, and Outlook.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
