Description
The Events Manager at Westwood Country Club collaborates with the Director of Catering & Events to promote the Club’s facilities for various social and professional events. Key responsibilities include:
- Aid in marketing and creating awareness for the Club’s social events and facilities.
- Liaise with clients planning fundraisers, banquets, luncheons, golf tournaments, milestone celebrations, meetings, weddings, dances, and other social and professional events.
- Plan and execute club events and holiday functions, coordinating logistics, vendor management, and on-site supervision.
- Suggest menus, layouts, looks, services, and other event arrangements; manage contracts and oversee administrative and operational aspects of event preparation and service.
- Provide on-site event support, serving as a point of contact for clients, vendors, and guests; assist in greeting and serving guests.
- Maintain detailed records of event logistics, including guest lists, attendee responses, diagrams, and vendor agreements; manage billing and processing of deposits, invoices, and event fees.
- Coordinate with other departments to plan food and beverage aspects of special events; utilize software such as Social Tables, CaterEase, ClubEssential, and Canva to accomplish assigned duties.
- Assist the Director of Catering and Events with operations and service delivery; contribute to continuous improvement of event operations.
Requirements
- Minimum 3+ years of experience in hospitality, focusing on event management, fine dining, and/or full-service catering.
- Associate Degree or Bachelor’s Degree preferred, with a certificate or degree in hospitality, culinary, media, communications, or humanities a plus.
- Excellent interpersonal and relationship-building skills; prior experience in a member-based or non-profit setting is beneficial.
- Prior experience in contract coordination and accounting/billing is advantageous.
- Comfortable with creative problem-solving and managing changing priorities.
- Strong organizational and coordination skills, with the ability to meet deadlines.
- Proficient in computer literacy, including reservation and POS systems, Canva, Excel, and CRM-style database software.
- Strong oral and written communication skills, with an interest in and aptitude for continued professional growth in the hospitality and events fields.
